Enterprise & Custom Launch Plans
Many of our team members have previously worked at Filevine as implementation consultants for large enterprise clients. Most team members also have a background in legal, so they understand the business process and the technology that powers it. We enjoy being creative and solving challenging problems. Often, enterprise clients have unique processes and goals that require unique configurations of Filevine and connected technology.
Our team approach includes a primary point of contact who manages the entire process and dedicated specialists for things like Lead Docket and automations. We provide a comprehensive training plan with both remote and on-site options.
Enterprise launches start with a discovery call. Typical pricing starts at $20,000. We talk through the goals, and there are typically multiple options and price points to get launched. All of our launch plans include flexible payment options. Clients do not need to pay it all upfront; instead, they get billed in monthly increments based on the services being done that calendar month. This allows clients to spread out the investment over the implementation timeframe.
Enterprise launch examples
3-month launch for a 100-user firm
We helped a 100-user firm launch in 3 months. They had three practice areas (personal injury, workers comp, and criminal defense) with data coming from two legacy platforms. This was an opportunity to save them from renewing Neos for an additional year, so we worked quickly to launch with Filevine using our best practice templates for each practice area (60k to launch). Then, we worked post-launch on custom configurations.
12-month launch for a 300-user firm
We had multiple team members working intimately with this client to remodel their business processes to be optimized prior to launch. This involved Filevine Core, Lead Docket, Document Assembly, and custom API development. One of their goals was for us to push them toward innovation and not simply rebuild their prior platform, Needles, which they had used for 10+ years prior (140k to launch).
4-month launch for a 60-user firm
This Contingency firm launched in 4 months, starting with our best practices template to save on configuration time. We spent two months customizing the template sections and fields. For the next two months, we worked in parallel on data migration and Filevine details, including DocGens, task flows, roles, and training (35k to launch).

Why work with a U.S.-based migration team?
-
The United States has stringent data protection laws, such as the Health Insurance Portability and Accountability Act (HIPAA), the Gramm-Leach-Bliley Act (GLBA), and the California Consumer Privacy Act (CCPA). By keeping data migrations within the U.S., organizations can ensure compliance with these regulations, reducing the risk of data breaches and legal consequences.
-
Keeping data migrations within the U.S. allows organizations to control their data more. They can establish and enforce strict access controls and data handling procedures to safeguard sensitive information.
-
Working with a U.S.-based data migration team provides better quality and reliability compared to outsourcing overseas.
-
Outsourcing data migrations overseas introduces additional risks, such as data exposure to foreign entities and differences in data protection standards. Keeping data operations within the U.S. can mitigate these risks and provide better data integrity and confidentiality assurance.
-
Having data migration operations within the U.S. enables easier access to support services and legal recourse in case of issues or disputes. Local vendors are subject to U.S. laws and regulations, which can give organizations more leverage and protection in case of contractual breaches or service failures.
How the migration process works
The process starts with a scoping call to understand what needs to be migrated, and, more importantly, how extensively is the legacy platform(s) being used and how many sections and fields need to be scripted for migration. This can be done in a 25-minute call where the client shares their screen and walks through a couple of example cases.
The migration process includes the following stages:
Mapping: Determining where fields in the legacy platform(s) will land in Filevine.
Scripting: Coding work to facilitate the mapping, normalizing any data into a format that accommodates Filevine fields.
Testing: Importing a subset of cases into a Filevine sandbox. This is where the client gets to work with real cases, take them for a spin, and, most importantly, confirm that the data all landed correctly. Updates to mapping and scripting are done based on this feedback, along with additional rounds of testing if needed.
Go live: Typically, the client stops working in the legacy system(s) on a Friday, uploads a backup, then the migration happens over the weekend, and the client is live in Filevine on a Monday.
Document migration happens alongside the data migration and requires an alignment of which folder names belong to which projects in Filevine. For large enterprise migrations, we work on sequencing the migration to minimize downtime. For example, we would migrate all active cases during the weekend downtime, and then archived cases can be added once active cases are completed.
The list of platforms below are supported for Full and Custom Migrations and includes data and document migration from a single legacy platform into a single Filevine template.
If you have a different platform, it’s not a problem, and we will confirm everything on the scoping call.
