Manual migration $0 (free!)
Ideal for small teams with less than 100 active cases to migrate to Filevine. We train your team to enter your cases and move docs manually. Copying and pasting the field and dragging the top-level folder into the Docs section takes an average of 15 minutes per case. The downside is that this is a manual process for your team—but the upside is that it’s a chance to correct your data and get very familiar with Filevine.

The United States has stringent data protection laws, such as the Health Insurance Portability and Accountability Act (HIPAA), the Gramm-Leach-Bliley Act (GLBA), and the California Consumer Privacy Act (CCPA). By keeping data migrations within the U.S., organizations can ensure compliance with these regulations, reducing the risk of data breaches and legal consequences.
-
Keeping data migrations within the U.S. allows organizations to control their data more. They can establish and enforce strict access controls and data handling procedures to safeguard sensitive information.
-
Working with a U.S.-based data migration team provides better quality and reliability compared to outsourcing overseas.
-
Outsourcing data migrations overseas introduces additional risks, such as data exposure to foreign entities and differences in data protection standards. Keeping data operations within the U.S. can mitigate these risks and provide better data integrity and confidentiality assurance.
-
Having data migration operations within the U.S. enables easier access to support services and legal recourse in case of issues or disputes. Local vendors are subject to U.S. laws and regulations, which can give organizations more leverage and protection in case of contractual breaches or service failures.
Why work with a U.S.-based migration team?
How the migration process works
The process starts with a scoping call to understand what needs to be migrated, and, more importantly, how extensively is the legacy platform(s) being used and how many sections and fields need to be scripted for migration. This can be done in a 25-minute call where the client shares their screen and walks through a couple of example cases.
The migration process includes the following stages:
Mapping: Determining where fields in the legacy platform(s) will land in Filevine.
Scripting: Coding work to facilitate the mapping, normalizing any data into a format that accommodates Filevine fields.
Testing: Importing a subset of cases into a Filevine sandbox. This is where the client gets to work with real cases, take them for a spin, and, most importantly, confirm that the data all landed correctly. Updates to mapping and scripting are done based on this feedback, along with additional rounds of testing if needed.
Go live: Typically, the client stops working in the legacy system(s) on a Friday, uploads a backup, then the migration happens over the weekend, and the client is live in Filevine on a Monday.
Document migration happens alongside the data migration and requires an alignment of which folder names belong to which projects in Filevine. For large enterprise migrations, we work on sequencing the migration to minimize downtime. For example, we would migrate all active cases during the weekend downtime, and then archived cases can be added once active cases are completed.
The list of platforms below are supported for full and custom migrations and includes data and document migration from a single legacy platform into a single Filevine template. If you are doing a Sprint Launch, full migration is only available in the Sprint Plus offering due to the time needed to map, script, test, and import.
If you have a different platform, it’s not a problem, and we will confirm everything on the scoping call.

FAQs
-
Clients will assist with and participate in the migration process. Clients are responsible for providing their data, either in spreadsheet or database format, to our data migration team.
-
Core and complete migrations require the client to request a database backup from the legacy system provider or an admin login to your cloud provider. Our data migration team will provide instructions for uploading that database to an Amazon S3 bucket, and the client will be responsible for uploading the data.
-
Once each section of your Filevine project template is completed and signed off on, we will start mapping the data fields from the legacy system to Filevine. During mapping, we will align your existing data with the appropriate fields in Filevine. This will be a collaborative effort, and someone from your team familiar with your legacy system data will need to participate in working sessions with our data migration engineer.
-
After completing the mapping process, the client will be provided an opportunity to review their data and documents in a test environment. The test environment is a staging org that mirrors the production org where the final migration will be completed. This will allow the client to review and confirm the accuracy of the data as it will look inside Filevine at launch. This is a critical step in the launch process. The client must thoroughly and carefully review the test to ensure the data is in the proper fields. There may be multiple iterations of testing until the accuracy of the data is approved by the client.

Every day we help law firms navigate the change of switching to Filevine. 80% of our staff previously worked at law firms and were a part of the change from a legacy platform over to Filevine. It’s never too soon to talk about what’s involved in helping you move to Filevine. We can demo a best practices template and discuss the migration, training plan, and what to expect in the process.
