Filevine is amazing, but sometimes we wish it had an additional feature here and there. These automations aim to polish the user experience or help you get past a sticky spot.

We’ve bundled some of our favorite automations to extend the functionality of Filevine. In working with our clients to implement and optimize Filevine we occasionally run into features we wish were available. So we built those features using the Filevine API and you can use one or all of them in our Optimization Toolbox.
Features in the Optimization Toolbox
Phase change notifications
Ever wonder who changed a phase in Filevine, or when it was changed? There’s no need for guesswork with our automatic phase change notifications.
Here’s how it works: you’ll see an activity feed notification whenever a phase is changed, showing who did it, along with a timestamp of when it was changed.
This includes a tag for #Phase and #NewPhaseName, making it easy to do Filevine reporting for all phase changes.
Recycle obsolete fields
Ever max out the available fields in a Filevine section? It can slow down your Filevine performance and clog up the backend of your system.
We work with you to confirm the obsolete fields, back them up, and then delete them.
We can do this recycling of obsolete fields once per year, giving you room to grow and add more fields as needed.
Clean up your Docs
Keep your Docs section tidy by automatically moving email attachments into a sub-folder in Docs named Email Attachments.
Filevine implemented an update whereby all emails CC’d to your project email address are now directed into the Docs section. To better support this change, we’ve rolled out an improvement that includes .eml files within emails for better organization. All .eml and .msg files tagged with #email are automatically moved to the Email Attachments folder. For other file types, files with both #email and #attachment hashtags will also be moved to the Email Attachments folder.
