Implementation partner FAQs
We recommend you ask any implementation partner the following questions (here are our answers).
-
Vineskills implementation services and data migration services are 100% US-based. Other partners have a majority of their team members overseas.
The United States has stringent data protection laws, such as the Health Insurance Portability and Accountability Act (HIPAA), the Gramm-Leach-Bliley Act (GLBA), and the California Consumer Privacy Act (CCPA). By keeping data migrations within the U.S., organizations can ensure compliance with these regulations, reducing the risk of data breaches and legal consequences.
Having services and data migration operations within the U.S. enables easier access to support and legal recourse since local vendors are subject to U.S. laws and regulations.
-
While the foundation and framing is Filevine software, the floor plan and furnishings you are moving into come from the partner. Be sure to do a walkthrough.
-
Yes! Ask to have your discovery call with the person who will be your primary implementation consultant. This is a big part of what you are buying—not just the salesperson or account manager.
-
The biggest risk is complicating the template and workflow in Filevine. When those are "overbuilt" it slows down the project and risks overwhelming the users who will be less tech-savvy than the client point of contact working to build it with the partner. We aim to simplify whenever possible; hide sections and fields until they are needed, and make it easily adopted for all the users.
-
Most other partners have core business models to sell you expensive automation tools.
If your partner is pushing for paid proprietary automations, consider if things could be built in a more simple way not requiring additional paid automations which have to be adjusted whenever you adjust Filevine.
Automation can be great, and we use them often at Vineskills, but we also see scenarios where they invite more complexity.
Vineskills only uses automations supported by Filevine (Workato and Zapier) where you own those accounts and data. This way, you are not tied to one partner and a proprietary system, which may be less secure.
-
At Vineskills, once you pick a launch plan, we send a straightforward Master Services Agreement that covers all the services Vineskills provides, including one-time services, annual app licenses and monthly post launch support services. View our sample MSA here.
All launch services include flexible payment plans. Clients do not need to pay everything upfront but are billed in monthly increments based on the services performed that calendar month. This allows clients to spread out the investment throughout the implementation timeframe.
-
There are always helpful options to extend a launch date when the client requests more time for configuration, training, or due to court schedules and team schedules.
Even if the kickoff call can happen right away, be sure to ask questions to the data migrations team about whether that team is typically on schedule and can meet your launch date.
We've seen ongoing issues with other partner's data migration schedules being a bottleneck in the process. When there are delays the client is still paying for Filevine licenses which can get expensive.
-
Data migrations can vary dramatically.
Be sure to ask your partner to review the various types and price points for data and documents migrations and the corresponding price points. Some partners have built migration tools that are based on spreadsheets and not the Filevine provided migration platform. These spreadsheet tools do not include documents, tasks, roles, teams and typically require the client to do a lot of work to get their data out of the legacy system.
Here are the migration options from Vineskills as a comparison.
Talking to another partner? How about a second opinion?
We realize this is likely the first time you’ve done a Filevine implementation, so we’re happy to talk through the details, and there is zero pressure to make a change; we can just offer a second experienced and helpful perspective.
We can review your implementation plan and provide suggestions on how to make it a success.
